Registration Information and Policies

Admissions

Unless otherwise indicated, UBC Continuing Studies registrants must be at least 18 years of age. We reserve the right to refuse to register an applicant or expel a registrant whose actions disrupt the operation of a course. We also reserve the right to refuse entrance to non-registered persons.

Fee Payments and Tax

All fees are payable in Canadian dollars. 12% HST will be indicated beside the course fee where applicable.

Your registration is complete when we receive your full fee payment. We do not accept post-dated cheques. If your payment is returned (e.g., an NSF cheque), it must be replaced with a certified cheque or cash and a service charge is levied.

Confirmation Letter

After processing your registration, you will be sent a confirmation letter by email or post. If you do not receive your confirmation letter by the start date of the course or program, please contact us.

Tuition Tax Receipts

Keep the receipt sent to you after registration – under some circumstances, tuition fees are tax deductible. Please notify us of any changes to your address to ensure you receive this receipt. Please keep your receipts as a replacement may cost you $10. For more details, click here.

Prerequisites

In order to maximize your UBC Continuing Studies learning experience, please ensure you meet any prerequisites identified in the course description. No refunds are possible if you choose to waive the prerequisites and find you are unable to complete the course.

Waitlists

Register early as many classes fill quickly. If your course is full, you may be able to place your name on a waiting list. We will contact you if a space becomes available.

Refunds and Cancellation Policies

If you would like to withdraw from a course, please submit written notice three business days before the course begins to be eligible for a refund (less a $50 administration fee). Fees of $50 or less are non-refundable unless a course is cancelled by UBC Continuing Studies. No refund will be made for cancellations received later than three business days before the course begins.

UBC Continuing Studies is sometimes forced to cancel courses due to insufficient enrolment or other reasons. If this occurs, a full refund is processed and sent to you automatically.

Language Courses: If you need to withdraw from a part-time course, you must submit written notice within 48 hours after the first class. A $50 administration fee is deducted from refunds. No refunds will be considered after this time. If you have received any course materials, they must be returned in excellent condition or you will be charged $25 for the cost of the materials in addition to the administrative fee. Please see below for conditions applying to Summer Institute language courses.

Certificate and International Programs: Special withdrawal and cancellation policies apply to UBC certificate and UBC Continuing Studies international programs. The application fee is non-refundable. Please contact the appropriate certificate program office for full details.

Summer Institute Programs: The withdrawal deadline for our summer institute programs is seven business days before the course start date. A $100 administration fee is deducted from each refund. No refunds are possible after the deadline.

Course Transfers

Transferring from one course to another or changing from one course to another of the same course within three business days of the course start date is considered a cancellation and a new registration. A $50 administration fee will be charged for the cancellation.

Visual and Sound Recordings

All rights are reserved by the presenters and the University of British Columbia. No filming, videotaping or recording is allowed during the courses.

UBC collects, uses, retains and discloses information in accordance with FIPPA. UBC may share and disclose personal information within the University to carry out its mandate and operations. Information, in aggregate form only, may also be used for research purposes and statistics.

UBC Employee Tuition Fee Benefit

Most UBC employee groups are eligible for the Tuition Fee Benefit that reimburses or offsets the cost of most UBC Continuing Studies courses. Ensure you apply for your benefit several days in advance of the course. Find out more.
